How to Revive Stalled Deals Sitting in Your Pipeline
Find Your Stalled Deals
A stalled deal is a prospect who stopped replying. The deal still sits in your pipeline, but no activity has happened in weeks. Open your CRM and sort deals by last activity date. Look for any deal with no contact in 14 days or more.
Make a short list of these deals. Include the contact name, company, deal stage, and the date of the last message. In LeadDaily, you can filter by last touch date to build this list in minutes.
Diagnose Why Deals Stall
Before you send a new message, find the likely reason the deal stopped. Common reasons include the following.
- The prospect got busy and forgot to reply.
- The prospect lost interest after the first call.
- A budget freeze or internal change put the project on hold.
- The champion left the company or changed roles.
- The timing was wrong, but the need still exists.
Check the deal notes and past emails for clues. If the prospect asked a question you never fully answered, that may be the block. If a champion left, search for their replacement on LinkedIn.
Send a Revival Message That Works
Do not send a generic check in message. A message like "just checking in" rarely gets a reply. Instead, give the prospect a clear reason to respond.
- Add new value. Share a short update, a case study, or a new feature that fits their original goal.
- Reference the last conversation. Mention the specific problem they described. This shows you remember their situation.
- Ask one direct question. Ask if the project is still active, or if priorities changed. One clear question is easier to answer than an open one.
- Give an easy exit. Ask if now is a bad time. This lowers pressure and often gets an honest reply.
Here is a short example. "Hi Sam, I wanted to follow up on the reporting delay you mentioned last month. We added a feature that fixes this exact issue. Is this still a priority for your team this quarter?"
Set a New Follow-Up Plan
After you send the revival message, set a plan for what happens next. Do not leave the deal open with no next step.
- If the prospect replies, move the deal to the correct stage and set a next action.
- If the prospect says the timing is wrong, ask for a specific date to follow up.
- If the prospect does not reply after two attempts, move the deal to a long-term nurture list.
Update the deal record right away. Log the message, the reply, and the new next step in your CRM. In LeadDaily, you can set a reminder task so the deal never goes cold again without you knowing.
Stalled deals are not dead deals. Many prospects still have the need, but lost momentum. A short, specific message often restarts the conversation. The key is to act before too much time passes.
