A pipeline is a list of your prospects sorted by where they stand in your outreach process. Without stages, prospects get lost. You forget who you contacted and who you did not. Five Stages to Use
You do not need a complex system. Five simple stages work well for most solopreneurs and small business owners.
- New: You added this prospect but have not contacted them yet.
- Contacted: You sent a first message or made a first call.
- Replied: The prospect responded in some way.
- Meeting Set: You booked a call or meeting with the prospect.
- Closed: The prospect became a customer, or the deal ended.
Each prospect sits in only one stage at a time. When something changes, you move them to the next stage. This keeps your list accurate and easy to scan.
How to Move Prospects Through Stages
Check your pipeline every day. Look at the Contacted stage first. If a prospect has not replied in five to seven days, send a short follow-up message. Do not wait longer than that, or the prospect may forget you.
When a prospect replies, move them to the Replied stage right away. Read their message carefully. Answer any questions. Suggest a specific time for a call or meeting.
Once you book a meeting, move the prospect to Meeting Set. Add the date and time as a note. This helps you prepare and avoid double-booking.
After the meeting, move the prospect to Closed. Mark them as a new customer, or note why the deal did not work out. This information helps you improve your approach later.
If a prospect never replies after three or four follow-up attempts, do not delete them. Move them to a separate list called Cold. You can revisit this list in a few months. Circumstances change, and a cold prospect today may become interested later.
Review your pipeline numbers once a week. Count how many prospects sit in each stage. If your New stage stays empty, you need to find more prospects. If your Contacted stage grows large but Replied stays small, your outreach message may need work.
